How to use the receipt generator
Enter your business details once and they are remembered for every receipt, invoice and quotation you make here. Add the customer, the date they paid, the payment method and any transaction or cheque reference. List what they paid for, add tax or a discount if they apply, then press Download PDF and choose Save as PDF in the print window.
Receipt or invoice: which one do you need?
An invoice asks to be paid. A receipt confirms that you were. If a customer pays on the spot, a receipt is usually all they need. If you invoiced first, send a receipt once the money arrives and put the invoice number in the notes, so both sides can match the payment to the bill.
What a payment receipt should show
A useful receipt answers every question a customer or an accountant might ask later: who was paid, who paid, when, for what, how much, and how. That means your business name and tax ID, the customer, the payment date, each item with its price, the tax shown separately, the total, the payment method and a reference such as a UPI or bank transaction ID. Number receipts in sequence so a missing one is easy to spot.
A worked example
A customer pays for a 5,000 service plus 18% GST. The receipt lists the service at 5,000, adds 900 of GST, and shows 5,900 as the total paid. Under payment method it says UPI, and the reference field carries the UPI transaction ID, which is what the customer will search for if they ever need to prove the payment.
